Cheapest Client Reporting Software for Small Agencies

Jon 8 min read
Chart of monthly cost against number of clients for three kinds of pricing: one line climbs with every client, one steps up at plan limits, and the cheapest stays low and nearly flat.

For a small agency paying month to month, Reporting Ninja was the cheapest of the six client reporting tools we priced, at every size from 3 to 20 clients: $25 per month for up to 10 reports, and $50 per month for up to 30. MetricsWatch Reports is not the cheapest for 3 to 10 clients, because its 2-report Startup plan is too small and the next plan is Pro at $149 per month; at 20 clients it is the second cheapest of the six at their listed rates.

Every price on this page was read from the vendor's own pricing page on 29 October 2026, in US dollars, and the open questions were checked again on 30 October 2026. This guide is on the MetricsWatch blog, and MetricsWatch sells client reports, so the table includes the rows where we lose. For every plan and figure side by side, see our client reporting tool pricing index; this page works out what a given number of clients costs.

What 3, 5, 10 and 20 clients cost each month

The table assumes one report or dashboard per client and two data sources per client, such as GA4 and Google Ads, on monthly billing. Change either assumption and the per-source tools move the most.

Tool and how it charges 3 clients 5 clients 10 clients 20 clients
Reporting Ninja: per plan, by number of reports $25 (Starter) $25 (Starter) $25 (Starter) $50 (Small)
Swydo: one plan, by number of data sources $69 $69 $114 $204
DashThis: per plan, by number of dashboards $54 (Individual) $164 (Professional) $164 (Professional) $324 (Business)
AgencyAnalytics: per client $75 $125 $250 $500
Porter Metrics: per data source account $90 $150 $300 $600
MetricsWatch Reports: per plan, by number of reports $149 (Pro) $149 (Pro) $149 (Pro) $149 (Pro)

All figures are US dollars per month, billed monthly. How each one is worked out:

  • Reporting Ninja: Starter is $25 per month for 10 reports and 10 accounts of each type, such as 10 GA4 properties; Small is $50 per month for 30 of each. Its pricing page says a report can hold data from several client accounts at once, and that every plan includes every feature, white label among them, with unlimited users.
  • Swydo: $69 per month includes the first 10 data sources, then $4.50 per data source per month from the 11th to the 100th. Swydo counts every connected account as one data source, and its one plan includes all features, with unlimited clients, users, dashboards and reports. Its page lists one set of per-source rates for both billing terms. It showed these figures in dollars on 29 October and in euros on a fetch on 30 October, so check the currency when you visit.
  • DashThis: Individual is $54 per month for 3 dashboards, Professional $164 for 10, Business $324 for 25. DashThis says a dashboard is one marketing report and can hold all of a client's platforms.
  • AgencyAnalytics: $25 per client per month on monthly billing, with unlimited data sources, reports and dashboards, unlimited staff accounts and a white-labeled client portal included with every client. Its page offers volume pricing for 25 or more clients on request.
  • Porter Metrics: $15 per data source account per month on monthly billing, so two sources per client is $30 per client. Its page says the average price per account falls as you add accounts, so its real cost at 10 or 20 clients is likely lower than the table shows, on both billing terms.
  • MetricsWatch Reports: Startup is $49 per month for 2 reports, Pro $149 for 25, Agency $399 for 100.

Two free options are worth knowing before you pay for anything. Data Studio (formerly Looker Studio) is free and can email a PDF of a report on a schedule, but the free version allows 1 schedule per report, so each client needs their own copy of the report; Data Studio Pro is $9 per user per project per month. Databox has a free plan for 1 user, 3 data sources and 1 dashboard, which is sized for one person tracking their own numbers rather than for several clients.

Ready to streamline your reporting?

MetricsWatch pulls twelve sources into one white-label report, delivered on your schedule: Google Analytics, Google Ads, Google Search Console, Google Business Profile, Google Sheets, Microsoft Advertising, Facebook Ads, Facebook Pages, Instagram, LinkedIn Ads, LinkedIn Pages, and Mailchimp. Starts at $49/month. 14-day free trial, no credit card required.

On annual billing

Every tool above takes a lower monthly rate if you pay for the year up front. At 10 clients, paying annually, the monthly equivalent is:

Tool 10 clients, per month, billed annually
Reporting Ninja (Starter) $20
Swydo $107 ($62 plus 10 extra data sources at $4.50)
MetricsWatch Reports (Pro) $124
DashThis (Professional) $139
AgencyAnalytics $200 ($20 per client)
Porter Metrics $250 ($12.50 per data source account)

Where the price jumps as you add clients

The cheapest tool today matters less than what happens when you sign the next client. Per-client and per-source tools rise a little with each one. Plan-based tools stay flat, then step up.

Tool What the next client costs
Reporting Ninja Flat at $25 up to 10 clients, $50 from 11 to 30, $88 from 31 to 70
Swydo Flat at $69 until you pass 10 data sources, then $4.50 per source
DashThis $54 up to 3 clients, $164 from 4 to 10, $324 from 11 to 25
AgencyAnalytics $25 for every client
Porter Metrics $15 for every data source account
MetricsWatch Reports $49 up to 2 clients, $149 from 3 to 25, $399 from 26 to 100

If you have 3 clients now and expect 8 by next year, compare the 10-client column, not the 3-client one.

The cost that does not show on a pricing page

The subscription is usually the smaller cost. The larger one is the time each report takes you every month, and it comes back with every new client. Before you pick on price, try these four questions on a free trial with one real client:

  1. How long does it take to set up one client's report from scratch? Time it. That is roughly what each new client will cost you.
  2. Do you need to know the tool to keep it running? If only one person on the team can fix a broken report, that is a cost too.
  3. Does it send on its own? A report that needs you to open it, check it and press send every month is a monthly task, not an automation.
  4. What does the client actually open? A PDF attachment, a link to a dashboard, or the report in the email. The one they read is the one that saves you the "how are we doing?" call.

If one tool saves you an hour per client each month, that hour is worth more than most of the price gaps in the table.

Where MetricsWatch fits

MetricsWatch Reports sends scheduled client reports from GA4, Search Console, Google Ads, Facebook, Instagram, LinkedIn, Mailchimp and more. The full report goes in the body of the email, with a PDF if you want one, and white-label is included on every plan. Plans are $49 per month for 2 reports, $149 for 25 and $399 for 100, billed monthly, or 10 times the monthly price for a year. There is a 14-day free trial with no card.

On price alone, the flat $149 Pro plan covers anywhere from 3 to 25 clients, so it costs less per client the more of it you use. It is not the cheap option for a few clients: Reporting Ninja costs less at every size in the table, and Swydo costs less up to 10 clients.

MetricsWatch Alerts is a separate product. It monitors GA4 and sends an email or Slack alert when a metric crosses a threshold you set, so you hear about a broken tracking tag or a drop in conversions before the monthly report. It starts at $79 per month for 3 alerts, checked every 15 minutes.

FAQ

What is the cheapest client reporting software for a small agency?

Of the six tools we priced on 29 October 2026, Reporting Ninja was the cheapest at 3, 5, 10 and 20 clients on monthly billing: $25 per month for up to 10 reports and $50 per month for up to 30.

Is there free client reporting software?

Data Studio is free and can email a scheduled PDF, with 1 schedule per report on the free version, so you need a copy of the report for each client. Databox's free plan covers 1 user, 3 data sources and 1 dashboard.

What does reporting for 3 clients cost?

On monthly billing, with one report and two data sources per client: Reporting Ninja $25, DashThis $54, Swydo $69, AgencyAnalytics $75, Porter Metrics $90 and MetricsWatch Reports $149 per month.

Is MetricsWatch the cheapest option?

No. For 3 to 10 clients several tools cost less. At 20 clients only Reporting Ninja costs less among the six we priced, at their listed rates.

Per client or per plan: which pricing is better for a small agency?

Per-client pricing, like AgencyAnalytics at $25 per client per month, rises evenly as you grow. Plan pricing, like Reporting Ninja, DashThis or MetricsWatch, stays flat and then steps up at a set number of reports. If your client count is about to cross a step, the plan price above it is the one to compare.

Prices checked 29 October 2026 on each vendor's pricing page; updated 30 October 2026. Prices change: check the vendor's page before you buy.
